DIRECTOR’S REPORT:  SEPTEMBER  2005

BOARD OF TRUSTEES

 

ADMINISTRATION

 

Community, Governmental and Interlibrary Relations:  G. Chapman took a tour of the library renovations completed at SDSMT with Library Director Patty Anderson, a Staff Appreciation Luncheon was held on the East Loading Ramp and Library Garage with Management bringing the dessert and Johnson Controls sponsor the main course, salads and drinks, a number of meetings have been held with City Finance for a proposal included in the Board Notebook to transfer Auxiliary Funding to a Board Fund at City Finance, participated in discussions with YMCA about the after school program partnership at the library. A new science concept will be introduced in October for the after school programming, participated in the final conference call for SDLN Fee Committee and submitted a final Report of recommendations on behalf of the Subcommittee to the SDLN Executive Board, Admin. staff participated in the annual Circulation Department Planning Session, G. Chapman helped to facilitate the transition from paper to electronic timesheets completed internally by library staff – paper copy will still be required for submission to Human Resources, G. Chapman and T. Davis met with Consultant Ginny Nelson for continued work upon Organizational Development. The recent staff reorganization was one example of these consulting services.   

 

Building & Grounds: Library sustained $6,500 in damage from broken windows due to vandalism. All the information including surveillance footage was given to the Criminal Investigations Dept.

Material has arrived for the HVAC upgrade project; work should begin mid Sept with a completion date of Oct 15th. The roof replacement project should begin mid to late Oct with a completion date Nov 30th. 

 

The acoustics engineer reported that he was delayed in completing our report due to emergency calls; he has indicated he will have a report to us by September 9th. 

 

Public Information and Programming:

 

·         One Book One Community – Posters, web pages, PSAs, signs, and related promotional items

·         County Fair Parade –signs and decorations for the library van, plus an informational handout

·         Oral Histories Project – trained volunteers and staff in the use of digital equipment and video editing

·         PublicationsSept. newsletter, calendar and computer courses; update of Programs for Young Children; thank you cards for Hometown Heroes participants, SRP sponsors and Johnson Controls; updated info for Friends bookmark; Discovery Days info bookmark

·         PSAs – BRAC information web page; Dragon Days program

 

Training:

Staff members received the first of a series of information and awareness sessions on the RCPL databases and services available to patrons. Leanna Martinez presented sessions on InfroTrac, Groliers and Homework Help.

 

Jennifer Irwin demonstrated the new patron incident report form, which is available on the staff intranet. At the same training session Greg Russ guided staff through the new electronic time sheet which will be used beginning in September.

 

PUBLIC SERVICES/YOUTH

 

Programs: On August 22nd Youth Services celebrated 90 days of Summer Reading with over 100 children.  In keeping with the Dragons, Dreams and Daring Deeds theme our young celebrants watched a fencing demonstration, had their picture taken with a “Dragon” and tested their “medieval skills” by using small  catapults to shoot marshmallows at a bulls eye. 

           

Services: Staff showcased RCPL resources to fifteen teachers from Calvary Lutheran School.    

 

 

PUBLIC SERVICES/ADULT SERVICES-REFERENCE

 

Programs:  A discussion on the book The work of Wolves took place on the 7th; thirteen people attended this discussion of Kent Meyers’ book, which is the 2005 One Book South Dakota selection.  “Lunch and Learn” was a great success this month, with 30 people attending the noon event. Bill Harlan of the RC Journal spoke about blogging on the Internet.

 

Services:  Staff proctored 24 tests in August. 26 people took advantage of the 10 computer classes offered this month. Roaming has also picked up with 65 patron contacts out on the floor this month.

 

SUPPORT SERVICES/CIRCULATION

·         Adult summer reading ended 17 August with 66 entries, 10 weekly prize winners, and 12 grand prize winners.

·         Circulation had their annual planning meeting 24 August to discuss the progress of the department and set goals for 2005-6. Goals include a pilot project to create a personal selector service, better marketing for library services, and improving information on self-service for patrons.

·         Liza Bohls, one of our pages, has left the library because she was given a position in the Black Hills Symphony Orchestra.

·         The in-demand book policy, allowing new books to go out 3 weeks, and limiting all requested items to 1 week, was implemented 29 August.

·         We shared our set-up procedure for receipt printers in Aleph with the University of Notre Dame, and helped them troubleshoot their printer set-up.

·         OUTREACH:

  • We delivered to 62 of 84 patrons this month. We exceeded our goal of 50% increase in institutional patrons, with an overall 56% increase. Currently 80% of our patrons live in an institution.
  • Library card and homebound information was included in the Rapid Valley Sanitary District’s September billing statements.
  • Activities directors at local institutions have reported that some residents are interested in being interviewed for the Oral History pilot program. Scheduling of interviews is underway for the end of September through October.
  • 37 volunteers contributed 417 hours in August.

 

SUPPORT SERVICES/NETWORK SERVICES

 

Services: 

  • Developed and provided staff training on electronic timesheets
  • Researching and creating the XML pages for RSS feeds (Real Simple Syndication)
  • Working on firewall
  • Outlined a web author re-alignment
  • WB2S (Welcome Back to School) – Created new pages for this school year

 

SUPPORT SERVICES/TECHNICAL SERVICES

 

Services: 

  • Two more book reviews published in the Journal this month
  • Order for magazines submitted; Chris created a magazine renewal decision calendar
  • Proposal for a more efficient handling of invoices outlined
  • Revision of departmental goals completed
  • Artist Remington Schuyler’s agreed to present a program
  • Outlined steps for setting up a veterans writing workshop
  • Ailsa and Barb will serve on the Display Committee
