DIRECTOR’S REPORT:  MAY  2005

BOARD OF TRUSTEES

 

ADMINISTRATION

 

 

Community, Governmental and Interlibrary Relations:

§         The new hours will begin Tuesday, May 31. A memorandum of understanding (MOU) for Union Contract Language is being drafted to revise the work week from Saturday to Sunday to Monday to Sunday. This would allow for two consecutive days off when working a weekend. A background memo is linked.

§         Attached is a link to G. Chapman’s Course Syllabus and Coursepack.

§         The Dept. Heads will review the draft budgets of departments on May 11, 18, and 25 with a recommendation of city wide priorities on May 25. Information will be given to the Board for final approval at the June Board meeting.

§         The South Dakota Digital Newspaper Task Force will meet Monday, May 16.

§         The SDLN Fee Structure Committee is targeting the end of May for an update fee recommendation. There are weekly or bi-weekly conference calls of the committee.

§         As Chair of the E-gov Committee, I am facilitating the Dept. Heads and Mayor’s review of the technology needs and functions of the city for a recommendation in the budgeting process.

§         Union negotiation training and interest based bargaining has begun with the Unions. ASCFME (American Federation of State, County, and Municipal Employees AFL-CIO) will meet on Tuesday, May 17.   

§         The Inaugural SDLA One Day Spring Forum held at RCPL was a great success. The evaluation form is attached to the agenda.

 

Building & Grounds: Procedures continue to be identified and written for the ongoing maintenance of equipment and seasonal grounds maintenance. Phase two expansion of Network office is scheduled for 1st week in June. Lawn care & snow removal is being considered along with other city depts. to be put out for  city wide bid. Also looking into costs for changing elevator over to nonproprietary, payback would take approx. 5 – 6 yrs, however savings will be significant. Larry Hansen has signed the Acoustical Agreement and will be stopping by taking pictures on another trip (not charged to us) on May 10. The noise testing date is being scheduled.

 

Public Information and Programming:

 

·         SDLA conference – labels, signs, and programs for the April 20th one-day forum

·         E=mc2 Grant – application prepared, contacts made, submitted

·         Foundation Fundraising Dinner – signs, name tags, etc. for the dinner; also a Foundation ad for Festival of the Book guide

·         New Hours – listed on web site, kiosk sign, stuffer, date due slip reminder; created a schedule for updating other publications and publicity

·         Summer Reading Program – advertisement, reading logs, school flyer, psas, and  publications and publicity schedule

·         PublicationsMay newsletter, calendar and computer courses; National Book Day and Volunteer Appreciation book certificates

 

 

 

Training:

§         Consultant Ginny Nelson is working with the Management Team- Director, Public Services Manager, Supervisors, Librarian I’s, Network Supervisor, Facilities Maintenance Operator and Business Office Assistant about Organizational Development. Ginny has worked with the staff previously in other areas of training. The focus of her work is about management and leadership skills in facilitation, communications, and process are being discussed. Consultant training support is provided within the budget. 

·         Reference staff members are completing an online tutorial entitled, “Copyright Basics for Libraries.” This is sponsored by the South Dakota State Library and is offered through the University of North Texas. Technical Services staff completed a training session on OCLC Connexion April 6. Youth Service staff offered information to staff on the “Learn a Test” service available on our website. SDLA and the library offered training to library staff and regional librarians in a one-day spring forum.

 

PUBLIC SERVICES/YOUTH

 

Programs: Youth Services celebrated National Library Week’s theme of One Community, Many Voices by sponsoring programs for youth including Celtic crafts, Lakota traditions, music, a youth poetry session and calligraphy. 45 youth attended the week-long festivities.

           

Outreach:  Staff presented a story time at the Kids Day at the Dahl.  50 people were in attendance. 

 

PUBLIC SERVICES/ADULT SERVICES-REFERENCE

 

Programs:  45 people attended The Spring Poets’ coffeehouse; this remains one of the most popular events hosted by the Library. “Black Hills book trails” by David Strain was well received by the attendees. Several programs promoting our health computer with MedlinePlus and adaptive technology also took place in April.

 

Services:  25 tests were proctored this month. April was the first full month of the “Roamers” service, with staff answering in the stack. In April 99 questions were answered by the Roamers. We anticipate that this will grow as more people become aware of and comfortable with getting help were they are and not having to come to the desk.

 

SUPPORT SERVICES/CIRCULATION

  • Circulation Staff received training in the new OCLC ILL web interface. This will allow multiple Circulation staff to batch download and update interlibrary loan records, streamlining the department’s obligation to that service.
  • Three staff members attended the SDLA Spring Forum.
  • Twenty-five coupons were given out to new cardholders for National Book Day on April 23. So far, 6 have been redeemed for Friends’ of the Library books.
  • Jestin Jund has been hired as a new page.
  • Christina Farnsworth received a promotion at another place of employment. Her last day as a page was May 1.

  • Working on updates to City pages
  • VPN connection for RCPL
  • Printer Replacements
  • Presentations for TIE conference and SDLA conference

 

SUPPORT SERVICES/TECHNICAL SERVICES

 

Services: 

  • With assistance for Facilities, Chris set up the new newspaper shelving positioning it closer to the shelves holding back issues of newspapers.
  • Electronic ordering with Ingram has been nearly problem-free in the past month. Electronic ordering with Baker and Taylor is progressing but not complete.
  • The department is now putting genre labels on rented books from McNaughton to better assist patrons in their reading selections
